Terms of Use
Last updated: April 2026
Agreement to Terms
These Terms of Use constitute a legally binding agreement between you and modular-flare regarding your use of our services and website. By accessing our website or booking our services, you acknowledge that you have read, understood, and agree to be bound by these terms.
If you do not agree with any part of these terms, you should not use our website or services. We reserve the right to modify these terms at any time, and continued use after changes indicates acceptance of the revised terms.
Services Provided
modular-flare provides professional pet care services including but not limited to grooming, boarding, behavioural training, puppy socialisation, veterinary coordination, and specialised care for senior or special-needs animals.
All services are provided subject to availability and our professional assessment of suitability. We reserve the right to decline service if we determine that we cannot safely or appropriately meet an animal's needs.
Booking and Cancellation
Service Bookings
Bookings can be made via email or in person at our facility. All bookings are subject to availability and confirmation by our staff. A booking is only confirmed once you receive written confirmation from us.
For boarding services, we require current vaccination records and emergency contact information before the first stay. Grooming and training services may require an initial consultation to assess your pet's needs and temperament.
Cancellation by Client
Grooming appointments may be cancelled or rescheduled without charge if we receive at least 24 hours' notice. Cancellations with less notice may forfeit any deposit paid.
Boarding reservations cancelled with less than 48 hours' notice may incur a charge of up to fifty percent of the booking value, as we turn away other bookings to reserve space for your pet.
Training sessions purchased as packages may be cancelled with a pro-rata refund for unused sessions, minus an administrative fee, if cancellation occurs within the first two sessions.
Cancellation by modular-flare
We reserve the right to cancel or terminate services if your pet displays aggressive behaviour that poses a safety risk to our staff or other animals, if you provide false information about your pet's health or temperament, if payment is not received as agreed, or if we determine that we cannot safely provide the service requested.
In such cases, you will be notified immediately and charged only for services actually provided up to the point of termination. No refunds will be given for services terminated due to client breach of these terms.
Payment Terms
Payment for grooming services is due upon collection of your pet. Boarding services are invoiced at the end of each stay with payment due within seven days. Training packages are payable in advance.
We accept bank transfers, debit cards, and credit cards. Regular clients with an established history may arrange monthly billing by prior agreement.
Late payment may result in suspension of future bookings. Outstanding balances beyond 30 days may be subject to interest charges at the statutory rate and may be referred to debt collection services.
Your Responsibilities
Accurate Information
You must provide complete and accurate information about your pet's health, behaviour, vaccination status, dietary requirements, and any relevant medical conditions. Failure to disclose important information may result in termination of service and could endanger your pet or others.
Vaccination Requirements
For boarding services, all dogs must have current vaccinations for distemper, parvovirus, and kennel cough. Cats must be protected against feline enteritis and cat flu. Proof of vaccination must be provided before the first boarding stay.
Animals without current vaccinations will not be accepted for boarding to protect the health of all animals in our care.
Health and Behaviour
You must inform us of any changes to your pet's health, medication, or behaviour between booking and service delivery. Animals showing signs of illness may not be accepted for grooming or boarding until they have recovered.
You are responsible for informing us of any aggressive tendencies, anxiety triggers, or handling sensitivities that could affect our ability to safely provide services.
Collection Times
Pets must be collected by the agreed time. Late collections may incur additional charges. If you fail to collect your pet within 24 hours of the agreed time without prior arrangement and we are unable to contact you, we may exercise our legal rights regarding abandoned animals.
Our Responsibilities
Standard of Care
We will provide services with reasonable skill and care, following industry best practices and maintaining appropriate facilities, equipment, and qualified staff. We will treat your pet humanely and with respect for their individual needs.
Health Monitoring
We monitor animals in our care for signs of illness, injury, or distress. If we observe health concerns, we will attempt to contact you immediately. With your authorisation, we may seek veterinary attention if we believe it is necessary.
Safety Measures
We maintain secure facilities and take reasonable precautions to prevent escapes, injuries, or incidents. However, animals can be unpredictable, and despite our best efforts, incidents may occasionally occur.
Limitation of Liability
To the fullest extent permitted by law, our liability is limited as follows:
Injuries and Illness
We are not liable for injuries or illnesses that result from pre-existing conditions, your pet's own behaviour, normal interactions between animals during supervised socialisation, or circumstances beyond our reasonable control.
We maintain public liability insurance, and claims for injuries or losses caused by our negligence will be handled through our insurance provider subject to policy terms and limits.
Property Damage
We are not responsible for damage to collars, leads, bedding, toys, or other items you provide, except where damage results from our negligence. We recommend not sending valuable or sentimental items with your pet.
Maximum Liability
Our total liability for any claim arising from our services, whether in contract, tort, or otherwise, shall not exceed the amount paid by you for the specific service giving rise to the claim.
Exclusions
Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be lawfully excluded or limited.
Emergency Veterinary Care
If your pet requires emergency veterinary treatment while in our care, we will attempt to contact you immediately using all provided contact information. If we cannot reach you and, in our reasonable judgment, immediate treatment is necessary, we may authorise emergency veterinary care on your behalf.
You are responsible for all veterinary costs incurred, including emergency treatment, diagnostics, medication, and ongoing care. We will provide reasonable assistance in coordinating with veterinary professionals and transporting your pet if needed.
By booking our services, you authorise us to make emergency veterinary decisions when we cannot contact you and immediate action is necessary for your pet's welfare.
Complaints and Disputes
If you are dissatisfied with any aspect of our service, please contact us promptly at [email protected]. We take all complaints seriously and will investigate thoroughly.
We aim to resolve complaints informally wherever possible. If we cannot reach a satisfactory resolution, you may pursue your rights through appropriate legal channels or alternative dispute resolution services.
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Photography and Media
We may occasionally photograph or video animals in our care for promotional purposes, social media, or internal documentation. If you do not wish your pet to be photographed, please inform us in writing when booking services.
By allowing your pet to be photographed, you grant us permission to use such images in our marketing materials, website, and social media without compensation. We will not include your personal information alongside images without separate consent.
Force Majeure
We are not liable for failure to perform our obligations if such failure results from circumstances beyond our reasonable control, including natural disasters, severe weather, pandemics, government restrictions, power failures, or other force majeure events.
In such circumstances, we will attempt to contact affected clients and make alternative arrangements where possible. Services cancelled due to force majeure will be refunded or rescheduled as appropriate.
Severability
If any provision of these terms is found to be unenforceable or invalid by a court of competent jurisdiction, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect.
Entire Agreement
These Terms of Use, together with our Privacy Policy, GDPR documentation, and Cookies Policy, constitute the entire agreement between you and modular-flare regarding use of our services and website, superseding any prior agreements or understandings.
Amendments
We reserve the right to modify these terms at any time. Changes will be posted on this page with an updated revision date. Material changes will be communicated to active clients via email or through our website.
Continued use of our services or website after changes indicates acceptance of the revised terms. If you do not agree to amended terms, you should discontinue use of our services.
